Dear ○○ Young Doctors and Conductors:

It is with great pleasure that I extend this letter of invitation to the ○○ Young Doctors and Conductors to attend the ×× ○^th Annual Clinical Meeting (ACM) as part of the ○○/×× Exchange Program. This year the ACM will take place in Chicago, Illinois at the ○○, May , 2009. 

We are currently working on the final meeting arrangements for the ○○ Young Doctors and Conductors. We are looking forward to your arrival on Friday, May 1, 2009. The ○○ Young Doctors and Conductors will be staying at the Sheraton Chicago Hotel and Towers located at

The Sheraton Chicago Hotel and Towers is holding 12 hotel rooms; one for each of the ○○ Young Doctors (10) and Conductors (2). When you arrive at the hotel, you should report to the hotel registration desk. All hotel room reservations are listed under the ○○ Resident Reporter Program in your individual names. The hotel may ask each of you for a personal credit card; this is standard procedure for most of the hotels here in the United States. The hotel room and tax charges for the 12 ○○ participants (total of six hotel room nights) are the compliments of ××.

Attached is a copy of the schedule for the ○○ Young Doctors and Conductors for the first two days; Friday, May , and Saturday, May . I will meet you on Saturday, May , at the Resident Report Office in the Colorado Room located in the Sheraton Chicago Hotel and Towers between the hours of 11:00am-3:00pm (see attached schedule). At that time, I will provide each of you with your registration materials; including tickets to all events, name badges and final schedules. On Saturday, May , your first event is the Resident Reporter Welcome Reception which begins at 5:45pm in the Sheraton 1, located in the Sheraton Chicago Hotel and Towers, immediately followed by the Welcome Dinner.

, the phone number is 312-464-1000. Transportation will be provided to and from Chicago O’Hare International Airport for the Young Doctors and Conductors. There will be a representative from our transportation company waiting at the baggage claim area with a sign that reads: ○○/×× Exchange Group. The hotel is located about 35 minutes from the airport. Transportation back to Chicago O’Hare International Airport will also be provided on the day of your departure, Thursday, May , 2009. Our transportation service will schedule your return trip to the Chicago O’Hare International Airport based on your flight itineraries.
